Job Title: Events & Special Projects Coordinator

Location: New York, NY

Industry: Legal

Pay: $30–$35/hour (Contract)

Job Description:

This role is responsible for the coordination and execution of firm events and special projects, including client receptions, internal events, branded swag distribution, and social impact initiatives. The ideal candidate is organized, proactive, and thrives in high-pressure settings.

Key Responsibilities:

  • Coordinate and manage various in-person firm events including small dinners, receptions, and on-site meetings
  • Support event planning logistics, manage budgets, schedule prep meetings, and oversee event materials and setup
  • Ensure seamless execution on the day of each event, acting as the primary point of contact for participants and vendors
  • Assist with internal administrative needs for the events team, including post-event follow-up
  • Fulfill branded swag requests, track inventory, and keep storage areas and systems organized
  • Source product samples, handle shipping logistics, and maintain product databases
  • Coordinate volunteer and community service initiatives across multiple offices
  • Maintain and update content on the firm’s volunteer platform and assist with newsletters, promotional materials, and communications

Qualifications:

  • 1–2 years of professional work experience, ideally in hospitality, events, or another fast-paced, client-facing industry
  • Strong organizational and time management skills, with the ability to handle multiple competing priorities
  • High level of professionalism and customer service orientation
  • A team player with a can-do attitude, ready to pitch in where needed
  • Comfortable working extended hours as required by events (some evenings and weekends)

Additional Details:

  • Schedule: 9:30 AM – 5:30 PM; expect 45–50-hour work weeks during peak event times
  • Contract Length: Through April 2026
  • Work Environment: Hybrid – 4 days onsite weekly in Midtown Manhattan
