Job Description

We are seeking a highly skilled and resourceful Executive Assistant to support the CEO of a fast-growing pharmaceutical start-up. This is an exciting opportunity for a proactive professional who thrives in a dynamic, fast-paced environment and is eager to make a direct impact on the success of the company.

Key Responsibilities

  • Provide high-level administrative support to the CEO, including calendar management, meeting coordination, and correspondence
  • Arrange complex domestic and international travel itineraries
  • Sit at the front desk to greet visitors and handle office management tasks such as ordering office supplies and working with vendors
  • Prepare presentations, reports, and materials for board meetings, investor updates, and internal communications
  • Serve as a trusted gatekeeper and liaison, ensuring smooth communication between the CEO and internal/external stakeholders
  • Anticipate needs, prioritize tasks, and ensure deadlines are consistently met
  • Manage confidential and sensitive information with discretion

Qualifications

  • Minimum of 5+ years of Executive Assistant experience , preferably supporting C-level executives
  • Strong organizational skills and attention to detail with the ability to manage multiple priorities
  • Excellent communication skills, both written and verbal
  • Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Zoom, Slack)
  • Ability to adapt quickly in a start-up environment with shifting priorities
  • A proactive, problem-solving mindset and a high level of professionalism
  • Ability to be onsite 5 days a week
