Job Description

Construction Testing Services (CTS, Inc) is seeking a detail-oriented and highly organized Dispatcher to join our growing third-party inspection team in our Pleasanton, CA office. This role is essential to the smooth coordination of field inspections across multiple disciplines, ensuring timely service delivery, inspector availability, and client satisfaction. The ideal candidate will have prior experience in dispatching or scheduling within the inspection or construction industry — and special inspection experience is strongly preferred.

Key Responsibilities

Daily Scheduling: Assign and dispatch inspectors based on project needs, certifications, availability, and geographic proximity.

Client Coordination: Serve as the liaison between clients and field staff, confirming appointments, managing updates, and addressing scheduling changes.

Resource Optimization: Monitor workloads and adjust assignments to maximize efficiency and minimize travel time.

Documentation: Maintain accurate records of job assignments, inspector credentials, and project timelines using dispatch software and internal system

Compliance Oversight: Ensure inspectors are matched to jobs according to their qualifications and that all inspections meet regulatory and client-specific requirements.

Problem Solving: Respond quickly to last-minute changes, cancellations, or emergencies with professionalism and agility.

Team Collaboration : Work closely with project managers, quality control, and administrative staff to support seamless operations.

Preferred Qualifications

  • 2+ years of experience in dispatching, scheduling, or logistics (preferably in construction, engineering, or inspection services).
  • Special inspection experience (e.g., concrete, masonry, welding, soils, fireproofing) is highly desirable.
  • Familiarity with ICC, ACI, AWS, or other relevant certifications and terminology.
  • Strong communication and interpersonal skills.
  • Proficiency in scheduling software, CRM platforms, and Microsoft Office Suite.
  • Ability to multitask and remain calm under pressure in a fast-paced environment.
  • High school diploma required.
